Health and Safety Policy

1. Purpose

This policy sets out Overcome’s commitment to protecting the health, safety, and wellbeing of all staff, trainees, volunteers, contractors, and clients involved in the delivery of remote mental health coaching services.

2. Scope

This policy applies to:

  • All staff, trainees, volunteers, and contractors working under the Overcome name

  • All remote coaching, supervision, and training activities

3. Policy Statement

Overcome is committed to complying with relevant UK health and safety legislation and applicable best practice standards.

Although services are delivered remotely, we recognise our duty of care to both practitioners and clients and implement appropriate safeguards, training, supervision, and risk management procedures to maintain a safe working and service environment.

4. Responsibilities

Leadership Team

  • Ensure implementation and annual review of this policy

  • Maintain appropriate health, safety, and safeguarding procedures

  • Respond appropriately to reported risks or incidents

Staff, Trainees, Volunteers, and Contractors

  • Follow safe remote working practices

  • Maintain confidentiality and data security

  • Report risks, incidents, or safeguarding concerns promptly

5. Safe Remote Working

To support health and safety in a remote context:

  • Coaching is conducted using secure, encrypted digital platforms

  • Practitioners work from private, confidential spaces

  • Confidential data is stored securely and in accordance with data protection requirements

  • Coaches are encouraged to manage screen time and take regular breaks

  • Ongoing supervision is provided to support wellbeing and service quality

6. Training Environment and Learner Wellbeing

Where training includes practical learning activities such as role-play exercises:

  • Learners are provided with guidance on safe participation in role-play activities

  • Participants are not required to disclose or explore personal traumatic experiences during training

  • Trainers may pause or adapt learning activities if a participant becomes distressed

  • Trainers provide appropriate support and may escalate concerns in line with safeguarding procedures where required

7. Safeguarding and Client Safety

As Overcome supports individuals experiencing mild to moderate mental health difficulties:

  • All coaches receive safeguarding training

  • Clear escalation procedures are in place for managing risk

  • Clients are informed of crisis support options where appropriate

  • Risk and safety considerations are reviewed in supervision

8. Monitoring and Review

This policy is reviewed annually or sooner if required due to legislative changes or updates in service delivery.
